Build your first workflow

Workflows let you automate customer communication based on behavior, events, and profile data.

Open the workflow builder

  1. Go to Workflows in your dashboard.
  2. Click New Workflow.
  3. Flywheel opens the workflow editor with a draft called New Workflow.

Open Workflows

Go directly to your workspace workflows list.

Name and structure your workflow

  1. Rename the workflow in the top bar.
  2. Pick a trigger to define when the workflow starts.
  3. Add actions step-by-step from the right panel.
Common triggers:
  • Event Trigger for user actions like user_signed_up or subscription_upgraded
  • Drop-off Trigger for inactivity windows

Start a workflow from a tracked event.

Drop-off Trigger

Start a workflow when users do not complete an expected action.

Configure and publish

  1. Select each node and configure its inputs in the right-side panel.
  2. Click Publish Changes to save your runnable version.
  3. Use the Live toggle in the top bar to enable or pause the workflow.
Publishing saves the latest structure and config. A workflow only runs when it is set to Live.

Monitor runs

Use the workflow tabs to switch between editing and monitoring:
  • Edit: update triggers, actions, and logic
  • Monitor: review recent runs and logs
